White Paper Explains How to Navigate, Negotiate Meeting-Venue Wi-Fi

In the digital age, few things sink a meeting faster than a sluggish Internet connection. For that reason, the Convention Industry Council (CIC) and the Hospitality Sales and Marketing Association International (HSMAI) have published a new white paper to help meeting professionals assess and fulfill their group’s Wi-Fi requirements.

Titled “Up to Speed: Event Bandwidth and High Speed Internet Access,” the white paper was developed by CIC’s APEX Event Bandwidth Workgroup, which was formed in June 2012 to raise awareness around event bandwidth problems and solutions. Its contents include how-to advice for calculating, negotiating and financing appropriate bandwidth based on the number and needs of attendees.

“When we looked at the challenges the industry faces in today’s technologically advanced world, we knew we needed to develop tools to help everyone better understand the importance of the bandwidth at their events,” says workgroup chair John Rissi, senior vice president of A/V provider PSAV.

Along with the white paper, the workgroup has created a bandwidth estimator tool and delivered education sessions on bandwidth at industry events. Other planned resources include a glossary of terminology, enhancements to the APEX RFP Workbook and best practices on post-event bandwidth reporting.

“This project is a perfect example of how APEX draws together passionate volunteers and experts to develop resources and best practices,” says CIC CEO Karen Kotowski. “The workgroup’s efforts will undoubtedly improve the way meetings and events meet business needs and attendee expectations, and ultimately drive results.”
