Planning every last detail of an event and ensuring all goes smoothly on site can be exhausting, but there's still more work to be done after it ends. Maintaining contact with attendees post-event is crucial to strengthening the relationship and increasing ROI. 

Follow these four tips from the event management solutions company Social Tables to keep in touch with your attendees long after they've packed their bags and headed home.

1. Say Thanks

The first and most important thing a meeting planner should do post-event is send a thank you to all attendees. People spent their time and money traveling to and attending your event, so it's only right to thank them. 

It's best to send thank you emails within a few hours of when the meeting ends. Planners should also consider sending personalized notes to speakers and other VIPs. This will set the foundation for a strong, long-lasting relationship.

2. Send a Survey

Gathering feedback is a key part of event improvement. You need to know what attendees liked, didn't like, thought was missing and more. 

In order to collect the greatest number of high-quality responses, event coordinators should keep the survey at a reasonable length. It's also a good idea to include rating scales and the option for open-ended, more detailed responses. Adding an incentive to the survey, such as a discount code or gift card, can further increase participation.

3. Stay Active on Social

A strong social presence pre-event can increase registration but maintaining activity post-event is just as important. Meeting planners should use social media to share photos and videos from the event, announce the details of future events and engage with followers on a regular basis. A social media contest can also help increase brand engagement. A retweet to win, best photo caption or traditional video contest are all good options.

4. Keep the Conversation Going

One of the best parts of attending an event is being able to connect with industry peers. As such, event coordinators may want to consider creating a follow-up get-together in a major city to continue the conversation. By scheduling the follow-up event a few months later, attendees can reconvene and discuss how new strategies and best practices are being implemented at their respective companies.

Another option is to create an online forum for attendees to connect with one another. A staff member can post questions on a weekly basis to facilitate discussions. Attendees can then share their thoughts on trending topics, as well as pose questions of their own.

A meeting planner's job is never over, but following the steps above can make it a little easier to hit your ROI targets and keep people coming back to your events year after year.
